This guide provides workflows for staff as they use Aeon in Special Collections.

Appointments Tab

In the User Profile, click on the Appointments tab. A list of all appointments, past, present and future, will appear below. From this tab. you can edit appointments, make new appointments, and cancel appointments. 

List of appointments:

To make new appointments, click the Appointments button in the tool bar.

 

 

To edit an appointment, double click on the appointment. An appointment details window will open. From here you can change the name, start and end times, and the date. To approve the changes, click the Save and Close button in the top left tool bar. 

 

To cancel an appointment: 

Click the Cancel button in the tool bar, make sure both the Send Email and Edit Email boxes are checked, and click the Yes button. 

Confirming an Appointment

When staff or researchers make an appointment, send them a confirmation email:

  1. Navigate to the Appointments tab,
  2. Double click the appointment to confirm,
  3. In the appointment detail window, click the Email dropdown button and select the type of email to send; in this case, the Appointment Confirmed template. The template will auto-populate with the patron's email, appointment date and time. Please edit the email as necessary.
  4. Once editing is complete, click the Send Email in the tool bar. 

Creating Appointments Manually

Associating pre-existing, future appointments with requests in the Client:

  1. Navigate to the researcher's profile page and open the Requests tab.
  2. Highlight the request by single clicking on the row.
  3. Click the Appointments dropdown button at the top right.
  4. If appointments have already been created (past and future), they will appear in this list. Select the future appointment you'd like to associate with the request by double clicking on the appointment. 
  5. Accept the change when prompted.

Appointments View in the Client

To view upcoming appointments, click the Appointments tab in the main view of the Client. You have option to view by day, week, or month. 

Week appointment view:
